Full Job Description

  • Surrey and Sussex Police do not currently have a working from home policy. We would expect the successful candidate to attend HQ. This can either be Guildford (Surrey) or Lewes (Sussex)


  • As Surrey and Sussex Police are a collaborative force, this role may need you to work from both headquarters. Your line manager would make you aware in advance if needed to do so.


  • Provide Finance transactional administration service undertaking a range of administrative processes on the appropriate system and other programs. Fully participate in a range of transactional Finance services including filing, maintenance of records, data entry, scanning, etc.

    Reconciliations as instructed for the appropriate function within Finance to an auditable level.

    In the first instance resolve queries, where this is not possible Identify where issues and queries should be escalated to the Assistant or Team Leader or other areas of Finance for support and guidance.

    Contribute to the development, implementation and maintenance of relevant processes, procedures and work instructions in-line with best practice and organisational priorities. Contribute to the development of best practice in the use of our systems.

    Assist in the training of new staff and supporting development.

    Undertake data cleansing and maintenance of records within the office, ensuring that all information is up to date and readily accessible, as well as undertaking housekeeping duties on the electronic finance system.

    Analyse specific areas of expenditure, researching any anomalies identified and providing recommendations with regards to remedial actions

    Undertake other duties appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post., The post holder will be required to communicate effectively to their team as well as the SBS Finance Team Leader. They are also required to communicate with staff and officers across both forces on a regular basis and wider Finance/People Services colleagues. This is to ensure that specific needs are understood and resourced appropriately.

    2. Please give examples of the main problems and challenges the job holder will typically come across in their day to day role and describe how they would be expected to resolve them.

    There are different and competing demands. The job holder will need to be agile, flexible and able to adapt and prioritise in a timely and effective manner to deliver business requirements.

    The Finance function is expected to be accessible and visible to stakeholders. The job holder will be expected to continually assess, update and improve procedures, so will need to work closely with the Assistants and Team Leader to achieve this. This will require the job holder to be continually horizon scanning both internal and external factors that have an impact on the team and discussing this with their Team Leader.

    With the introduction of technology and the removal of manual processes, the job holder will need to hold a high level of understanding of the platforms used within their role and that of their team.

    The job holder will also be required to function at a high level where required, this could include projects, ad hoc tasks etc.

    3. To what extent does the job holder have discretion to take action/make decisions? Please give examples. Do they have to refer decisions to others for ratification or are they required to take the lead?

    On a day to day basis the job holder will have the autonomy to make their own decisions within this post, however depending on the query / decision this should be highlighted to the Assistant or Team Leader to decide the escalation path.

    4. Please explain the different parts of the organisation this role impacts upon and why. Please also highlight if it involves any partnership working with external stakeholders.

    The role primarily has an impact on Finance and workforce, and the ability to meet business needs and requirements.

    Regular contact and clear communication with officers and staff at all ranks, Heads of Department, Government Agencies, other forces and local suppliers are essential to deliver a quality service and maintain a cost effective service.

    The role holder will provide the Finance Team Leader, with the essential data they need and information with which to plan and monitor the effectiveness of Finance Ops.

    The post holder will be vital to participating in a 'one team' culture is in place across their area of responsibility and the other areas within the SBS in both Surrey and Sussex.

    The role holder will be required to build strong relationships with a flexible approach to dealing with a variety of stakeholders at a tactical level.

    Associated Account Technical (AAT) Qualification or Has a minimum of 3 year's experience working in a Finance/ Admin environment.

    A good understanding of the end to end processes within accounts payable, accounts receivable, purchasing and income.

    Experience of identifying and implementing process improvements and demonstrable problem solving skills.

    Effective communicator able to deal with challenging issues presented by vendors/suppliers, customers and stakeholders, with an ability to influence change.

    Effective organisational and prioritisation skills to manage the diverse workloads within Finance.

    Observable service delivery mind-set and someone who seeks to exceed stakeholder's expectations.

    Effective at collaborating with people from different functional groups to influence change and improve outcomes.

    Ability to act as an ambassador for Finance within the wider Force organisation.

    Intermediate user of MS Office (PowerPoint, Word and Excel).
